Celebrating Success at AWS Summit: Expert Staffing & Event Management

We supported the AWS Summit 2022 and 2023 in London as staffing partner. It had been over two years since we could welcome customers through their event doors, so it was an exciting event to be part of! We worked on our first AWS eight years ago, so it’s incredible how the attendance and scale has grown year on year.

What We Did:

  • In 2022 we engaged 150 hyper-local staff from within our trusted network and efficiently registered 8000.
  • In 2023 it was 258 staff and 13,000 delegates.
  • Our hosts aided way-finding, offered information and prompted guests to ensure their QR codes / I.D. were ready while they were queuing.
  • We managed breakout sessions with scanning hosts, room managers and microphone runners.

How We Did It:

  • Budget-friendly, mandatory venue orientation and training on the agenda and registration system for managers and half the team members, plus additional training early on the first live day for the trained team to impart their knowledge to the remaining half of the team.
  • Our founders have over sixteen years of experience in registration, working in partnership with our clients to consult on a comprehensive and cost-effective staffing plan.
  • We calculated the volume of attendees, registration categories, estimated times of arrival and plenary timings to absorb the usual surge in registration, including mapping out the best team placement. 
  • In 2022 five registration managers were assigned to individual groups of thirty registration staff, responsible for check-in, breaks and rotational duties. With a team of 157, it is imperative that team welfare and morale is maintained to achieve optimum output.

The Results:

  • Our team of experienced hosts and managers who were familiar with the venue layout ensured breakout sessions ran smoothly and on time. 
  • In 2022 the client team commented that the event ran perfectly, and we were invited back in a larger capacity for 2023, adding nearly 100 staff to the team for the event.
  • The initial 2022 requirement was a team of eighty, which grew to 147 staff! In a time of staff shortages, we were reactive to our client’s needs and scaled up to deliver!
